TERMS & CONDITIONS 

BOOKINGS 

  • All bookings made require a £100 deposit to be paid via our online booking system or directly into the business bank account. 
  • Bookings are not confirmed until the deposit has been paid.  
  • The remainder of the booking fee will be collected on the day of the event.
  • The event will not start until balance has been cleared.  

CANCELLATIONS & REFUND POLICY 

  • All deposits are paid at your own risk 
  • No refunds for any cancellations 
  • Any bookings cancelled within 14 days of event will lose the deposit  
  • Any bookings cancelled earlier than 14 days of event will receive an additional 9 months period to re-book for another event 
  • All cancellations must be submitted in writing to: Info@gamingvanroyale.com 
  • Gaming Van Royale reserves the right to cancel, alter or delay bookings where forced to do so by any circumstances beyond our control such as pandemic, illness, severe weather or anything else that would impact our staff, gaming van or customers to any danger.   

CONDUCT 

  • Gaming Van Royale will not tolerate any bad behaviour, bad language, aggressive or threatening behaviour to our staff. In the event of such acts taking place, we reserve the right to end the session immediately and all money paid will be forfeited.  
  • Anyone considered to be under the influence of drugs, alcohol or any other substance will not be allowed on board the van.  

MEDIA RIGHTS 

  • At all of our events, we will be taking some photos and videos of customers playing inside or outside the Gaming Van. Rest assured, these pictures will ONLY be used for marketing and advertising purposes for Gaming Van Royale. By paying and booking with us, you allow us to do this and will do so without demanding any compensation for images used. If you do have any issues with any images we have used, you can email us and we will be happy to remove them.   
  • We will never pass your details or images on to any third parties.  

LIABILITY 

  • For all bookings, we will aim to arrive between 30-45 minutes before your booking starts. We cannot be held responsible for any delays outside of our control such as traffic, medical emergencies or any other factors which will prevent us from ensuring we are early for your booking. If we do arrive late to your event, you will always be given the allocated time you have paid for even it means we run over from our day’s schedule. That is a Gaming Van Royale guarantee.  
  • If there are any issues with the van due to any mechanical or technical issues which cannot be resolved on the day then we will refund your booking in full or an alternative date will be arranged. 
  • Although every effort is made to keep our environment safe clean and in accordance with Health & Safety requirements anyone entering the Gaming Van does so entirely at their own risk. 
  • Gaming Van Royale will not be held responsible for any damage caused to driveways, parks or any grounds that is deemed to be caused by our vehicle or staff. It is the responsibility of the customer to ensure that the location chosen for the Gaming Van is suitable. 
  • By inviting us onto your grounds, the booking customer is accepting full responsibility for any damage caused 

DAMAGES 

  • Any damage caused to our van or gaming equipment due to harsh treatment or vandalism that is deemed deliberate, we reserve the right to charge the booking customer the full amount for any repairs or replacement of equipment. Any damage must be reported to a member of staff immediately.  

VIDEO GAMES RATING 

  • We ensure all of our games are age appropriate and operate an ‘All or no-one’ policy regarding age appropriate games. It is the booking customer’s responsibility to ensure that parental consent is obtained from all parents/guardians of party guests to play age related games. 
  • If an out of age game has been requested, our staff will ask the booking customer to make a final decision. We cannot be held responsible for any issues related to this. If some guests are prohibited from playing certain games then please make us aware of this in writing 7 days before your event. 

FOOD/DRINKS & NO SMOKING POLICY 

  • We do not allow any food or drinks to be consumed on board our vans. 
  • We do not allow any smoking in our vans. This includes cigarettes, cigars, vapes or any other electric smoking gadget that blows smoke.
